End a Workforce Assignment

Objective

To end a workforce assignment.

Background

Workforce assignments allow you to manage your workforce by assigning resources to projects. You can end a workforce assignment, updating the end date to the day you take this action.

Steps

You can end workforce assignments from three (3) places in Workforce Planning:

End a Workforce Assignment from the Assignments List

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Assignments and select Assignments List.
  3. Locate the desired assignment and click the gear icon-gear-wfp.png icon.
  4. Enter the new End Date.
  5. Choose an option to save the assignment:
    • Click Save.
    • Select the caret icon-caret-wfp.png icon and select Save and Alert to save the assignment and send an assignment alert to the assignee. See, What is an assignment alert in Workforce Planning?
      • Optional: Update the 'Subject'.
      • Optional: Update the 'Alert Content'
      • Select when to send the alert:
        • Send Now. Select this to send the alert immediately, then click Send.
          Note: This will send the alert immediately based on the default or project assignment alert settings.
        • Programme. Move the toggle to the ON position to programme the alert to be sent in the future.
          Note: You can edit or send the programmed alert at a later time. See Manage Programmed Assignment Alerts.
          1. Select the Date and Time to send the alert.
          2. Click Save.
        • Save Draft. Select this to save the alert as a draft. Then click Save.
          Note: You can edit or send the draft at a later time. See Manage Draft Assignment Alerts.

 

End a Workforce Assignment from Assignments Boards

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Assignments and select Boards.
  3. Locate the assignment you want to edit.
  4. Drag and drop the assignment from the project to the 'resource bench'. See What is the 'resource bench' in Workforce Planning?
    Note: The assignment end date updates to the present date.
    OR
    Locate the assignment you want to end and hover over the assignment. Next, click the Gantt icon-gantt-wfp.png icon.
    1. Click Edit Total Assignment.
    2. Enter the new End Date.
  5. Choose an option to save the assignment:
    • Click Save.
    • Select the caret icon-caret-wfp.png icon and select Save and Alert to save the assignment and send an assignment alert to the assignee. See, What is an assignment alert in Workforce Planning?
      • Optional: Update the 'Subject'.

End a Workforce Assignment from the Assignments Gantt

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Assignments and select Gantt.
  3. Select the Project Assignment Bar beside the person whose assignment you wish to change.
  4. Click the coloured bar of the day(s) you want to edit.
  5. Select Edit Total Assignment to edit the entire assignment.
  6. Enter the new End Date.
  7. Choose an option to save the assignment:
    • Click Save.
    • Select the caret icon-caret-wfp.png icon and select Save and Alert to save the assignment and send an assignment alert to the assignee. See, What is an assignment alert in Workforce Planning?
