Email a Meeting

Objective

To forward a meeting to other Procore users by email. 

Background

You can forward a copy of a meeting's agenda or minutes by email. A meeting can be forwarded to people on the programmed attendees list, distribution groups or any person with a profile in the Project Directory. See Add a User Account to the Project Directory.

Things to Consider

  • Required User Permissions:
    • 'Admin' level permissions on the project's Meetings tool.

Steps

  1. Navigate to the project's Meetings tool.
  2. Locate the desired meeting in the list. Then click Edit.
  3. In the right pane, click Email.
    • To: By default, this field is populated with the names of the 'Scheduled Attendees' for the meeting. If you want to add other people from the Project Directory to the email message, do so now. Note: This does not add those people to the 'Scheduled Attendee' list.

    • CC: You send a carbon copy of the meeting email to a person who has been added to the Project Directory. 

    • Private Meeting: Mark this tickbox so that the meeting is only visible to scheduled attendees and users with 'Admin' level permissions to the Meetings tool. 

    • Subject: The subject field will auto-populate with the subject you had listed when creating the meeting.

    • Message: Enter a message for the body of the email. 

  4. Click Send.
    The system reveals a banner to confirm that the message will be sent.
