View Documents in the Document Management Tool (iOS)

The Document Management tool is currently in a Limited Release (Beta). It is not yet available for Procore accounts in the United States. For more information, please reach out to your Procore point of contact.

Objective

To view documents in the Document Management tool using the Procore iOS app.

Things to Consider

    • The following file types can currently be opened in the viewer:
      • Documents: .pdf, .doc, .docx, .ppt, .pptx
      • Spreadsheets: .xls, .xlsx
      • Images: .jpg, .jpeg, .png
      • Videos: .mov, .mp4
      • Audio: .mp3, .mp4, .wav, .m4a

Steps

 Tip

You can quickly access drawings and specifications within the Document Management tool by tapping the Drawings or Specifications tool in the Procore app. 
Note: The app will NOT redirect to the Document Management tool if the Drawings or Specifications tools are active on the project. 

  1. Open the Procore app on an iOS mobile device.
  2. Tap the project's Document Management tool.
    See the steps below for ways that you can view documents:

View All Documents

  1. Tap the All Documents tab.
    Note: If you are in the Saved Views section, tap the back arrow to see the All Documents tab. 
  2. Documents that you have access to are shown in the list.
    • Each document is shown with its file name and basic information. Tap a document if you want to open it in the viewer. See the View a Document in the Viewer section below.
    • The most recently opened or uploaded documents are shown in a section towards the top of the screen. Tap the drop-down menu and select Recently Opened or Recently Uploaded to change which documents you see here.
    • If you want to change how documents are shown in the tool, tap the view mode icon and select a different option. See Configure Your View in the Document Management Tool (iOS).

View Documents in Saved Views

The 'For You' tab in the Document Management tool shows saved views that have been created to show specific documents in the project. Saved Views are separated into Project Views (available to everyone in the project) and My Views (views that you created that are only visible to you). Currently, saved views can only be created on Procore's web application. See Create a Saved View in the Document Management Tool

  1. Tap the For You tab.
  2. Recently accessed saved views are shown in the 'Recent Project Views' and 'My Recent Views' sections.
  3. If you want to see all project or personal saved views, tap See All.
    Note: 
    • You can tap My Views or Project Views to switch between saved views at any time. 
    • If you want to search for a specific saved view, enter a term in the search bar. 
  4. Tap on a saved view to view documents within that view. 
    Documents that you have access to are shown.

View a Document in the Viewer

  1. Tap the document that you want to view.
    Note: Use the filters, search bar or sort menu to find a document if needed. See Search for and Filter Documents in the Document Management Tool (iOS).
  2. After the document loads in the viewer, the following actions are available:
    Note: Not all actions are available for every file type.
    • Markups:
      • To show or hide markups that exist on the document, tap the Markups toggle on or off. 
      • To filter markups:
        Notes: Filters automatically clear if you close the document. 
        1. Tap the filters icon-filter2.png icon or tap one of the quick filters on top. 
        2. Select the filters that you want to apply:
          • Authored By: The individual who added the markup. 
          • Company: The company that an individual who added the markup is associated with in Procore. 
        3. Mark the tickbox next to each option you want to filter by and tap Select
        4. Tap Apply to apply the filters to the document. 
        5. If you want to clear the filters, tap Clear Filters.
    • Markup List: Tap the ellipsis icon-ellipsis-options-menu3.png icon and select Markup List to view a list of markups on the document. You can tap on a markup item to view it on the drawing.
      Note: The number of visible markups compared to total markups and the number of applied filters are shown in this Markup List panel. 
    • Revisions: Tap the revisions  icon to view previous revisions of the document. 
    • Search: Tap the search icon to search text within the document.
    • Info: Tap the ellipsis icon-ellipsis-options-menu3.png icon and select info to view all available information for the document.
    • Thumbnail View: Tap the ellipsis icon-ellipsis-options-menu3.png icon and select Thumbnail View if you want to change to a thumbnail view 
    • Share: Tap the share icon to save, share or print the document.
      Note: The options available depend on the apps and settings on your iOS device. 
  3. When you are done viewing the document, tap the x icon to close the viewer.
