Edit a Workforce Request

Objective

To edit a workforce request in Workforce Planning.

Background

Workforce requests are an efficient way to let your team know that you need a workforce resource for a particular project. You can create a workforce request when you need a resource but aren't sure who to assign or if you do not have permissions to create assignments yourself. You can edit workforce requests at any time.

You can edit requests from three (3) places in Workforce Planning:

Edit a Workforce Request from the Request List

You can edit workforce request information from two (2) places on the Requests List:

Edit Request Information Inline

You can edit information directly on the Requests List by making inline edits.

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Requests and select Requests List.
  3. Right click OR double click the information in the row and column that you want to edit.
    Note: Fields that are editable inline have an orange border. If there is a black border, you cannot edit the field inline, but can from the Request Details.

  4. Add or edit the information.
  5. Click Save.

Edit Request Information from Request Details 

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Requests and select Requests List.
  3. Locate the workforce request you want to edit and click the gear icon-gear-wfp.png icon.
  4. Edit the 'Request Details':
    Note: Fields with an asterisk (*) are required.
    • Project*. Enter the Project that the request is for.
    • Category. Enter the category of the request. 
    • Subcategory. Enter the subcategory of the request. 
    • Needed Job Title. Enter the Job Title needed for the request.
    • Status. Select the request status. See Configure Assignment and Request Statuses for Workforce Planning.
    • Working Days. Enter the working days needed for the request.
    • Tags. Select the tags for the request. See Configure Tags for Workforce Planning.
    • Quantity. Enter how many request to create.
    • Start Day*. Enter the first day of work for the request.
      • Date. Enter the specific start date for the request.
        OR
      • Project Start. Select the project start date as the start date for the request.
    • End Day*.
      • Date. Enter the specific end date for the request.
        OR
      • Weeks. Enter how many weeks the request is for.
        OR
      • Project End. Select the project end date as the end date for the request.
    • Allocation Type. Select whether the Allocation Type is in Hours of Percent. See What is a Workforce Allocation Type?
      • Work Hours Start*. If you selected 'Hours', enter the time of day the assignment begins.
      • Work Hours Start*. If you selected 'Hours', enter the time of day the assignment ends.
      • Percent Allocated. If you selected 'Percent', enter the percent allocated to the assignment
    • Optional: Custom Fields. Enter information for any request custom fields. See Configure Custom Fields for Workforce Planning.
    • Select Scope of Work to describe the scope of work.
      Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request. See What is an assignment alert in Workforce Planning?
    • Select Assignment Instructions to provide additional instructions.
      Note: Information entered here is automatically added to the assignment alert for the assignee who is fulfilling the request. See What is an assignment alert in Workforce Planning?
    • Optional: Select Comments to add any comments. 
      Note: Information entered here is NOT added to any assignment alerts. See What is an assignment alert in Workforce Planning?
  5. Click Save.

Edit a Workforce Request from Assignment Boards

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Assignments and select Boards.
  3. Locate the workforce request you want to edit.
  4. Hover over the request and click the gear icon-gear-wfp.png icon
  5. Edit the 'Request Details':
    Note: Fields with an asterisk (*) are required.
    • Project*. Enter the Project that the request is for.
    • Category. Enter the category of the request. 
    • Subcategory. Enter the subcategory of the request. 
    • Needed Job Title. Enter the Job Title needed for the request.
    • Status. Select the request status. See Configure Assignment and Request Statuses for Workforce Planning.
    • Working Days. Enter the working days needed for the request.
    • Tags. Select the tags for the request. See Configure Tags for Workforce Planning.
    • Quantity. Enter how many request to create.
    • Start Day*. Enter the first day of work for the request.
      • Date. Enter the specific start date for the request.
        OR
      • Project Start. Select the project start date as the start date for the request.
    • End Day*.
      • Date. Enter the specific end date for the request.

  6. Click Save.

Edit a Workforce Request from Assignment Gantt

  1. Navigate to the Company level Workforce Planning tool.
  2. Click Assignments and select Gantt.
  3. Locate the workforce request you want to edit and click the colored bar.
  4. Click Edit Request.
  5. Edit the 'Request Details':
    Note: Fields with an asterisk (*) are required.
    • Project*. Enter the Project that the request is for.
    • Category. Enter the category of the request. 
    • Subcategory. Enter the subcategory of the request. 
    • Needed Job Title. Enter the Job Title needed for the request.
    • Status. Select the request status. See Configure Assignment and Request Statuses for Workforce Planning.
    • Working Days. Enter the working days needed for the request.
    • Tags. Select the tags for the request. See Configure Tags for Workforce Planning.

  6. Click Save.
