If you have been invited to place a tender on a project that's being managed using Procore's cloud-based construction software, you should have received an email invitation similar to the example below.

Tender Invitation Email Overview

See the sections below to learn more about the information and actions that are included on tender invitation emails sent from Procore.

 

Download Tender Documents (#1)

To download the tender documents (including any specifications, drawings and documents) for this project, click the Download Files (#1 in the image above). You can also download the documents from the Planroom tool in Procore by clicking View in Procore. See Download Tender Documents.
Note: The Download Tender Documents article is also linked to in the email as "Learn how to download tender documents.(#7 in the image above).

 

State your intent to tender (#2)

 
To Tender at a Different Time

If you want to state that you will place a tender on the project, but do not want to fill out your tender sheet at the current time, click Yes. This will inform the company that you do intent to tender and your tender information will come in the future. If you do not reply with an intent to tender or a tender amount, you may receive a reminder-to-tender email ahead of the Tender Due Date.

 

To Not Tender

If you choose to not place a tender on the company's project, click No. This will inform the company that they should not expect a tender submission from you.

 

Tender Details (#3)

View the package name and project information (#3 in the image above).

 

Client Details (#4)

View the details of who sent you the tender invitation (#4 in the image above).

 

Pre-tender walkthrough and RFI information (#5)

View the date and time that the pre-tender walkthrough will happen, as well as any relevant notes (#5 in the image above). You will also see pre-tender RFI information. This section is optional; the project may not have a pre-tender site walkthrough or any pre-tender RFIs.

 

Cost Codes (#6)

View the cost codes that you have been selected to place a tender on (#6 in the image above). When you log in to Procore, you can select additional cost codes and enter your tender for each cost code.

 

Log in to Procore (#7)

 

First Time tenderers

If this is the first time that you've received an invitation to place a tender on a project using Procore, click View tender package & Submit Tender in Procore (#7 in the image above). This will prompt you to create a password for your account. After you create a password, you will be able to access the tendering information. See 'To Access Your Tender Sheet', for the next steps. 
Note: When submitting a tender, there is only one tender per company allowed. Even if there are multiple people invited to tender, only one individual can submit a place a tender on the company's behalf. 

If this email has been forwarded to you, you will not be able to access the tender sheet. Procore uses an email address as user IDs. This means that the original recipient of this email is the only user with an account that has access to the tender sheet.
Note: The original recipient will receive the email directly from an @procore.com email. If you would like to have access to the tender sheet, contact the account owner of the Procore project. If you are unsure of how to contact them, email support@procore.com.

 

Existing Procore users

To access the tender sheet, click the Click here to log in to Procore link. After you are logged in, you will see your tender sheet. You can also access your tender sheet by navigating to the company's Planroom tool and following the steps in the To Access Your Tender Sheet.

 

 Note

You can also submit a tender by replying to the tender invitation email with one or more files attached to your email. After you send your tender submission, the tender solicitor will see that you submitted a tender and can review any files that were attached to your email.

The following file types are accepted for tender submissions: .pdf., doc, .docx, .xls, .xlsx, .zip, .ods, .odt, .fods, .fodt, and .txt.

To Access Your Tender Sheet

  1. Log in to Procore using your account. 
    Note: If you are logging in through the tender invitation email, you will automatically be directed to your tender sheet.
  2. Navigate to the company's Planroom tool. See Planroom for more information.
    Note: The Planroom tool manages the tendering submissions and tender organisation for the company to which you are submitting a tender.
  3. From the Planroom tool, you will see all the tender packages that you are invited to place a tender on. Click on a tender package to bring you to the Tender Sheet where you will see the project and tender information. 
  4. In the banner on the Bid Sheet, select whether you intend to tender or not. 
    If you select that you plan on tendering, a 'Enter a Tender' button will become available. 
  5. Click Enter a Tender and fill out your tender information.
    • Cost Code: In the field under Amount, indicate the amount you would like to tender for. You can place a tender on other items by clicking Add a Scope of Work. The 'Total: $' field is automatically calculated and populated with the total of all of your tenders.
      Note: You can delete cost codes that are not part of the original scope of work by clicking the X icon next to the cost code. 
    • Inclusions: Enter any inclusions that may not be clearly stated in the related contract documents.
    • Exclusions: Enter any exclusions that may not be clearly stated in the related contract documents.
    • Comments: Optional: Add any comments you would like to send the company.
    • Attachments: Optional: Add any relevant attachments to your tender sheet.
  6. Click Save for Later if you would like to revisit your tender sheet at another time.
  7. When you are ready to submit your tender, click Submit Tender.
