Who can send emails and files into Procore?
Note:
Each project in Procore has its own set of unique email addresses that allow for further collaboration. Similar to a regular email address, anyone who knows the exact name of an inbound email address can send an email to it (i.e. send an email or files to Procore). However, there are some settings available that allow you to restrict who can send emails into a tool. See How can I restrict inbound emails from being received?
How are emails and files sent into a Procore project?
The following tools in Procore have one or more unique inbound email addresses that allow users to send emails directly to the tool:
- Emails: There is a single inbound email address for sending emails directly to the inbox of the project's Emails tool.
Note: This email address is viewable by users with 'Read Only' or higher permissions to the Emails tool. - Site Diary: Each day's log has its own unique email address in the log's 'Emails' section.
Note: This email address is viewable by users with 'Read Only' or higher permissions. - Documents: The Documents tool has two inbound email addresses.
- Correspondence for a file: Each file in the Documents tool has its own unique email address that is viewable by users with 'Read Only' or higher permissions to the Documents tool.
- For importing files: This inbound email address is only viewable by users with 'Standard' or 'Admin' permissions in the 'Import Options' section of the root folder. Documents sent through an inbound email are uploaded to the 'Emailed Documents' folder.
- Photos: The inbound email address for the Photos tool allows photos to be imported to the tool.
Note: This email address is only viewable in the Photos tool's Configure Settings page by users with 'Admin' permissions. In addition, there are different settings to give you more control over who can email photos into the project.
How can I restrict inbound emails from being received?
Currently, the Photos tool has an option to allow or restrict emails being sent to the Photos tool. See Configure Advanced Settings: Photos.
- Allow anyone to send inbound emails to the Photos tool: Select this option if you do not want to restrict who can send inbound emails to the Photos tool. While this is selected, anyone who knows the inbound email address listed in the Photos tool's configure settings can send an email containing photos (which will be added to the Photos tool).
- Only allow Photos tool Admins to send inbound emails to the Photos tool: Select this option if you want to allow photos from an inbound email to be added to the Photos tool, but only those sent by users with 'Admin' permissions to the Photos tool.
- Disable all inbound emails to the Photos tool: Select this option if you do not want any photos to be added from an inbound email. While this is selected, any emails sent to the Photos tool's inbound email address will be blocked.
