Review RFQ Responses

Objective

To review a quote submitted by a collaborator in response to a Request for Quote (RFQ)

Background

When a change event affects a commitment, your project team has the option to create an RFQ to obtain a quote from a collaborator on your project. See Create RFQs from a Change Event. When adding a collaborator's quote to Procore, your team has these options:

  • Your team can assign an RFQ to a collaborator and then send it to the collaborator email. See Assign an RFQ. Next, your collaborator can submit their quote as described in Submit a Quote as a Collaborator. Then, you can proceed with the steps below. 
    OR
  • If your team doesn't want to grant collaborators the permissions they need to submit a quote directly in Procore, you can manage the quote submission process outside of Procore. If you choose this option, you will want to enter the quote you received into Procore as described in Respond to an RFQ on Behalf of a Collaborator. Then, you can proceed with the steps below.

Things to Consider

  • Required User Permissions:
    • To review an RFQ response, 'Read Only' level permissions or higher on the project's Change Events tool.
    • To change the status of the RFQ, you must have 'Admin' level permissions on the project's Change Events tool.
       Tip
      Want to view RFQ responses from the Commitments tool? If so, follow the steps in View a Purchase Order or View a Subcontract and then click the RFQs tab. 

Steps

Choose from these methods to review responses:

Review Responses from the RFQs Tab

  1. Navigate to the project's Change Events tool.
  2. Click the RFQs tab. 
  3. Scroll to find the change event with RFQs you want to review or use the filters to narrow your search. See View, Filter and Search RFQs.
    Note: You can tell if an RFQ has been responded to if the following are true: 
    • The 'Current Quote' field shows the amount the subcontractor entered in the RFQ response.
      Note: You can click the RFQ to review additional information within the actual RFQ.
    • The status shows Under Review, Pending Final Approval, or Closed.
  4. (Optional) After reviewing RFQ, it is recommended that you update its status to Pending Final Approval. This allows you to apply the RFQ filter to see which RFQs have already been reviewed and which are still under review.

Review Responses from the Detail Tab

  1. Navigate to the project's Change Events tool.
  2. Scroll to find the change event with the RFQs you want to review or use the filters to narrow your search. See View, Filter and Search RFQs.
    Note: You can tell if an RFQ has been responded to if the following are true:
    • The RFQ column shows the amount the subcontractor entered in the RFQ response.
      Note: You can click the RFQ amount to review additional information within the actual RFQ.
    • The status shows Under Review, Pending Final Approval, or Closed. You can hover over the RFQ amount to see the status.
  3. (Optional) After reviewing RFQ, it is recommended that you update its status to Pending Final Approval. This allows you to apply the RFQ filter to see which RFQs have already been reviewed and which are still under review.
