Edit a Variation

Objective

To edit a variation.

Background

The Project level Variations tool was designed to provide you with quick access to your project's variations:

  • The 'Main Contracts' tab lists any main contracts with variations on your project.
  • The 'Commitments' tab list any purchase orders or subcontracts with variations on your project. 

If you want to edit a variation, you can click its link in the 'Contract' or '#' column of either tab. This opens the contract in view mode in the appropriate Project Financials tool. 

Things to Consider

  • Required User Permissions:
    • To edit a Commitment Variation (CV), 'Admin' level permissions on the project's Commitments tool.
      OR
    • To edit a Client Contract Variation, Main Contract Variation or Funding Variation, 'Admin' level permissions on the project's Client Contracts, Main Contracts or Funding tool. See What tool names and terms are different in Procore for main contractors, owners and speciality contractors?
      AND
    • To gain access to view variations in the project's Variations tool, you'll also need the permissions documented in View Variations
       Note

      User permissions for editing variations are NOT managed by the project's Variations tool. Instead, the Variations tool is designed for users with 'Admin' level permissions on the Client Contracts, Main Contracts or Funding tool AND the project's Commitments tool. It allows authorized users to view and access variations from one place. The settings below determine your ability to edit variations:

      • Your user account's permissions on the project's Commitments and/or the Client Contracts, Main Contracts or Funding tool.
      • Your membership is on the 'Private' list on the specific contract or funding.
      • You also may not be able to edit certain fields, depending on the variation's status and/or other items associated with the change. To learn more, see Why can't I edit or delete an 'Approved' variation?

  • Additional Information:
    • When editing a variation you will be redirected to either the project's Main Contracts tool or the Commitments tool.
    • You can also edit a variation from a main contract, purchase order or subcontract using the Variations tab under the Commitments and Main Contracts tool. 
       Tip
      Need to edit a variation that is NOT the most recently approved? If so, find the most recently approved variation. Then, change each variation's status to 'Draft' and work backward until you locate the variation that you need to edit. If you are unable to edit a variation, see Why can't I edit or delete an 'Approved' variation?

Steps

Select the Variation to Edit

  1. Navigate to the project's Variations tool.
  2. Click the Main Contracts or Commitments tab.
  3. Locate the variation to edit. Then click View.
    This opens the purchase order, subcontract or main contract in the appropriate tool. 
  4. Follow the appropriate steps:

Edit a Commitment Variation

Follow these steps to edit a variation for a purchase order or subcontract. 

  1. In the contract, click the Variations tab. 
  2. In the 'Commitment Variations' table, click the Edit button. 
  3. Modify the variation's data as needed. To learn about the different fields, see Create a Commitment Variation

Edit a Main Contract Variation

Follow these steps to edit a variation for a main contract. 

  1. In the variation, click the Edit button.
