Assign and Send an RFQ to a Collaborator

Objective

To assign and send a Request for Quote (RFQ) to a project collaborator

Background

When a change event occurs on your construction project, you can create an RFQ and you have the option to send it to the appropriate project collaborator for a price quote by email. If you choose to send RFQs to your collaborators,  you will need to ensure that all the Prerequisites below have been met. 

 Important
If you don't want to grant your collaborators the permissions they need to submit a quote in Procore, you also have the option of managing the submission process outside of Procore.  If you choose this option, you will follow the steps in Respond to an RFQ on Behalf of an RFQ Recipient instead of using the steps below.  

Things to Consider

  • Required User Permissions:
    • 'Admin' level permissions on the project's Change Events tool
      AND
    • 'Admin' level permissions on the project's Commitments tool.
  • Additional Information:
    • If RFQs are disabled on your project, contact your Procore point of contact to request to enable them. 

Prerequisites

For a collaborator's name to appear as a selection in the Assignee drop-down list on an RFQ:

Steps

  1. Navigate to the project's Change Events tool. 
  2. Click the RFQs tab. 
  3. Locate the RFQ in the list. Then click View.
  4. If the RFQ has been created, this banner appears at the top of the page.

  5. Click the Add an Assignee link. 
  6. In the 'General' tab of the RFQ, select an Assignee from the drop-down list.

  7. Click the Save & Send RFQ button.
    A 'Send RFQs' message appears. 
  8. Click Continue to acknowledge that you want to send the RFQ email to the assignee you designated. 
    A YELLOW banner appears to confirm the email communication was created. Procore sends an RFQ email to the person listed in the Assignee list.
