Mention Users in a Coordination Issue Comment

Objective

To mention one or more users in a comment on a coordination issue.

Background

When team members need input from others on a coordination issue, they can @mention users to instantly send an email notification with a link to the issue, as opposed to having to manually send multiple emails to assignees (or notify all users on a distribution list that might not be involved in the actual issue).

In addition, this allows for project collaborators who might not be directly involved in the coordination process (e.g. concrete foreman, facilities managers, engineers and other stakeholders) to be pulled in as needed to answer questions and provide input on areas of their expertise.

Things to Consider

  • Required User Permissions:
    • To mention users in a comment, 'Read Only' level permissions or higher on the project's Co-ordination Issues tool.
      Note: Only users with 'Read Only' or higher permissions can be mentioned using the @ symbol.
  • Additional Information:
    • You can mention multiple users in a comment. However, each user must be added to the comment using the @ symbol. 
    • After you add a comment to a coordination issue, any users that were mentioned will receive an email notification alerting them of the comment. This email will include a link to view the coordination issue and comment in Procore. 

Steps

From the Procore Plugin 

  1. Open Navisworks® and your model on your computer. See Getting Started Using the Procore Plugin.
  2. With the Procore tab selected, click Issues List.
  3. Click the issue you want to mention a user on.
  4. Click Activity to open the Activity window.
    OR
    Click Info on the issue, then click the Activity tab. 
  5. Add a new comment to mention the user in or edit an existing one:
    • To add a comment:
      1. Enter your comment into the text box.
      2. Enter the @ symbol in your comment and begin typing the user's name.
        Note: A list of users that match the letters you typed will appear.
      3. Click on the user's name to confirm the user.
        Note: If you want to mention additional users on the same comment, enter the @ symbol again to select another user and repeat as necessary.
      4. Optional: Click Add Snapshot to add a snapshot of the current view to your comment.
      5. Click Submit.
    • To edit a comment:
      1. Click Edit on the comment you want to edit.
      2. Enter the @ symbol in your comment and begin typing the user's name.
        Note: A list of users that match the letters you typed will appear.
      3. Click on the user's name to confirm the user.
        Note: If you want to mention additional users on the same comment, enter the @ symbol again to select another user and repeat as necessary.
      4. Optional: Click Add Snapshot to add a snapshot of the current view to your comment.
      5. Click Update.

From the Co-Ordination Issues Tool ​​​​​​

  1. Navigate to the project's Co-ordination Issues tool on app.procore.com.
  2. Click on the co-ordination issue you want to view activity for.
    OR
    If comments have been added to the co-ordination issue, click the Comment  icon-activity.png  icon.
    A side panel will open to display info for the co-ordination issue you selected.
  3. Click Activity.
    Note: If comments are available and you clicked on the Comment  icon-activity.png  icon, the Activity feed will open automatically.
  4. Enter a comment into the text box.
    Note: If you want to mention a user in a comment that you already added, click the vertical ellipsis  icon-ellipsis-options-menu.png  icon next to the comment and click Edit
  5. Enter the @ symbol in your comment and begin typing the user's name.
    Note: A list of users that match the letters you typed will appear.
  6. Click on the user's name to confirm the user.
    Note: If you want to mention additional users on the same comment, enter the @ symbol again to select another user and repeat as necessary.
  7. Optional: Click Attach Image to select an image file to add to your comment.
    Note: Accepted file types include .png, .jpeg, .gif, and .bmp.
  8. Click Submit.
    Note: If you are editing a comment, click Update
